Placement Assistant Lead

Job Summary: 

The Placement Assistant Lead supports the Placement Lead in managing and coordinating the University’s industrial placement operations in line with Muscat University’s strategic objectives. The post holder assists in the planning, supervision, and execution of placement activities, ensuring smooth coordination among students, employers, and academic staff. This role bridges operational efficiency with strong employer engagement and student support, contributing directly to the University’s goal of achieving high-quality placement outcomes.


Key Duties & Responsibilities:

1. Operational Coordination

  •  Support the Placement Lead in planning and implementing placement activities, ensuring adherence to timelines and quality standards.
  • Coordinate with employers, academic staff, and students to facilitate interviews, orientations, and placement logistics.
  • Supervise and guide Placement Officers and interns in daily tasks, ensuring consistency and accountability.
  • Manage placement documentation, trackers, and databases, ensuring that all information is accurate and up to date.
  • Assist in preparing reports, dashboards, and presentation materials for internal and external stakeholders.

2. Student Engagement and Support

  • Act as a focal point for students during the placement cycle, providing guidance on CV writing, interview preparation, and employer expectations.
  • Support in the delivery of employability and career-readiness sessions.
  • Monitor student progress during placements and report any issues or concerns to the Placement Lead.
  • Assist in resolving student or employer-related placement issues with professionalism and discretion.

3. Employer and Industry Relations

  • Maintain strong working relationships with existing partner companies and assist in developing new partnerships.
  • Support in organising site visits, job fairs, and employer engagement events.
  • Liaise with employers regarding student performance, placement evaluations, and feedback collection.
  • Ensure that all placements meet university quality assurance and health & safety standards.

4. Quality Assurance, Accreditation, and Data Management

  • Contribute to maintaining placement records, student evaluations, and employer feedback.
  • Support the Placement Lead in ensuring that placement practices align with institutional policies and accreditation standards.
  • Assist in preparing annual placement reports and data analytics for strategic reviews.
  • Support in compiling, formatting, and maintaining documentation required for internal audits, quality reviews, and accreditation submissions related to placement activities.
  • Assist in preparing evidence, reports, and data required for external accreditation bodies or internal quality processes.

Other Duties:

  • Support in representing the Placement Office during official university events, open days, and employer meetings.
  • Undertake any other responsibilities as assigned by the Placement Lead or Director of Academic Relations.

Education/ Qualifications:

  • Bachelor’s degree in Business Administration, Human Resources, or a related field.
  • Minimum of 2–4 years of experience in student placement, recruitment, career development, or corporate relations.
  • Strong administrative and communication skills with experience in employer engagement and student advising.
  • Preference will be given to Muscat University graduates who demonstrate strong knowledge of the institution’s values, academic programs, and student development culture.

Skills and Competencies:

  • Strong interpersonal and communication skills, both written and verbal.
  • Excellent organisational and time-management abilities.
  • Proficiency in Microsoft Office applications (Word, Excel, PowerPoint, Outlook).
  • Ability to multitask and manage competing priorities under pressure.
  • High attention to detail and accuracy in documentation and reporting.
  • Team-oriented approach with leadership potential and initiative.
  • Fluency in English (required); proficiency in Arabic (preferred).
